Warehouse System

Now that warehouses no longer have to worry about the tremendous task of printing and sorting warehouse receipts, eCotton has focused on the other problems at hand – receiving information from the gins via file, reconciling your physical warehouse inventory with Electronic Receipt Providers data, receiving and processing shipping orders and scheduling pickups. 

eCotton’s Cotton Warehouse System is computer software that greatly simplifies the handling of information associated with cotton warehousing.

The eCotton Warehouse System . . .  

allows you to "customize" the program to meet your specific system requirements via system parameters.  These parameters identify acceptable ranges for data items (i.e. bale weights, storage dates), calculation methods, and default values used throughout the system.

allows the warehouse to create receipts either by paper or electronically, individually or by block. Creates files to send to the Electronic Receipt Provider with selection of one  menu item.  Prepares files automatically for ISS, Inc. or EWR, Inc.

supports a wide range of tariff types for billing of warehouse charges.  Multiple effective dates and rates can be entered.

updates and keeps track of CCC payments and storage charges.  It interfaces with the USDA COPS system to use the bale paid file to update bale records with paid through information.

allows printing of invoices for bale shipments, sample orders, and "block" shipments.  All relevant charges are calculated automatically.

eases load on WH personnel by providing "picking lists" that help locate bales for outgoing orders. Windows version has visual calendar for scheduling shipments. Easily check shipment dates and move by dragging and dropping on new date.

provides a choice of individual and batch entry in most options.  Batch entry allows warehouses with higher volume to enter "batches" of data more quickly.  Allows for reading of inbound file for bale entry, shipping orders, sample orders, etc.  Errors can be corrected with a minimum of effort.  Any updates made to the bale record affecting the electronic warehouse receipt critical data notifies the user that the change is being logged to send to the provider.

provides a wide range of reports including those used for insurance purposes, determination of all accrued charges, shipment scheduling, and CCC payment reports.  Additionally, the Custom Reports feature gives you the power to create your own reports.

allows for transfer of data to/from the eCotton Cotton Gin System, and other cotton data systems.   A file can also be created to send to the eCotton AgManagement System for accounting purposes.

 features easy access to an on-line help system by simply pressing a key.  An explanation of the current option will then appear.  You can also select a specific help screen from an index of help "topics".

allows warehouses to request a reconciliation report from their EWR provider.  When the file is received and read in,  it compares the status of the bale in your warehouse software with the status of the bale on the electronic receipt and reports the discrepancies to you.  This same type of reconciliation can be done with the actual bales in the warehouse (through a file created with a scanner during an actual physical inventory)  and the bales in your warehouse software.  Great for audit purposes.

allows for automatic processing of shipping orders received from the electronic warehouse provider system.  Shipping orders can be created through the reading of an inbound file or automatically read into the warehouse system with the setting of a parameter.

offers restrictive use of program actions to prevent unauthorized users from running the program and altering sensitive data.  Very finite levels of restriction can be applied to user names or IDs.

supports multiple sets of warehouse data.  This allows you to maintain data for more than one warehouse with the same program.  The amount of warehouse data allowed is limited only by the capacity of your computer's hard drive.

allows for reading of  file generated from eCotton’s Warehouse Dock Entry program for easy bale entry.  eCotton also has two utility programs (developed specifically for Symbol Scanners) which can be loaded onto scanners for ease in recording the location of the bales and shipping order generation. Interfaces with data from Intermec scanner programs written and supported by Tim Huggins.

allows for extensive use of custom reports feature and inbound/outbound file creation.

can be run on a network and accessed from more than one computer at a time.
